Property Management
Throughout the day, TPG Property Managers receive and handle calls for their respective associations. Messages are forwarded to property mangers through voice mail and email and are immediately retrievable by the TPG property manger through their Blackberry device. TPG Assistant Property Managers are also available to field calls and emails.
Role of the TPG Property Manager:
- Recommend and/or hire Board approved contractors, suppliers and vendors utilizing TPG cooperative bidding.
- Monitor the quality of services provided by Association selected vendors and contractors. This may include TPG Maintenance personnel when employed by the Association.
- Maintain individual property files for each unit owner, vendor and contractor to provide accurate record maintenance,
- Receive, review and approve, when appropriate, invoices properly presented for payment to ensure accuracy of computation, correctness of billing, reasonableness of price and proper budget allocation.
- Monitor the operating budget to ensure the property operates within approved financial guidelines.
- Negotiate contracts for services (i.e. landscaping/snow removal, trash removal, etc.).
- Obtain bids for special/capital projects from competitive vendors (as requested per Board request and/or as outlined by engineering specifications) and periodically monitor contracted work.
- Initiate authorized competitive bidding on all service contracts prior to renewals.
- Provide on-site inspections as well as unscheduled visits to the property’s common areas to evaluate various systems, operations, safety conditions and work in progress and ensure uniformity of the common elements.
- Handle day-to-day issues, phone calls, emergencies (flood/fire), respond to written complaints in observance of Association bylaws/rules and as authorized by the Board.
- Evaluate the property’s operational needs; assist in the assessment and re-organization of schedules for all essential maintenance and landscaping services; expedite required and emergency repairs; and solicit bids as needed.
- Enforce the proper workers’ compensation insurance requirement for all sub-contractors/vendors.
- Send out appropriate correspondence, letters and notices to unit owners and/or vendors, etc.
- Attend a specific number of Board Meetings per calendar year as required by the property plus the Annual Meeting. (Outlined in the property’s contract.)
- Long Term Planning – TPG may utilize outside resources to provide consultation services and advise community associations on sound building practices and cost-effective methods. This will facilitate the identification of the major components of a plan, the stage of physical health of the component and options for funding to return the physical component to good health.
- Supervise and monitor the work performance of Association employed concierge, security staff and contractors based on signed contracts and specifications.
